Host Your Own Zoom Event

Guidelines for WTT Event Hosts and Co-Hosts
  • Have fun!!!!
  • Have a host to be the entertainer and a co-host to manage event participants
  • Sign-in or join event at least 5 minutes before your event start time
  • Start promptly at 5 minutes past the hour without interruptions
  • Welcome everyone to the event and remind them to:
    • Treat everyone with respect
    • Turn off your camera if you are eating
    • Don’t interrupt or talk over other participants
    • Stay muted unless the event host prompts you to unmute
      • If you need to talk, raise your hand or private message the host in the chat.
    • No harassment or foul language of any kind will be tolerated
  • Make it so participants can only send private chat messages to the host and co-host
  • Make it so participants can only unmute their microphone when prompted by the host or co-host
  • If someone is having a bad day and being disruptive, put them in the waiting room for 5 minutes and then admit them back to the meeting
    • If a participant continues to disrupt the program, remove them from the meeting
  • Please complete the Feedback Form if you had to remove a participant from a meeting
  • Remember people join WTT Events to have fun – So Have fun!!!!
Make it so participants cannot unmute their microphone
  • Once you’ve started your Zoom Meeting, select Participants from the toolbar on the bottom of the screen
    • The Participants panel will appear
  • Select More from the lower right corner
  • Select Allow Participants To Un-Mute Themselves
    • The check mark will disappear and any muted participants will not be able to unmute their microphones until prompted by the host or co-host
Make it so participants cannot chat privately with other participants
  • Once you’ve started your Zoom Meeting, select Chat from the toolbar on the bottom of the screen
    • The Chat panel will appear
  • Select the three dots from the lower right corner
  • Select Hosts and Co-hosts
    • Participants will now only be able to send chat messages to the entire group or privately to the host and co-host
What to do if Zoom gets Bombed by unwanted guests
  • Select Security from the toolbar on the bottom of the screen
  • Select Suspend Participant Activities from the list
  • Remove unwelcome guests from the meeting
    • Select unwelcome guest(s) from the Participant list
    • Select Remove
    • Repeat for all guests attempting to disrupt the event
    • Take a deep breath, quickly apologize to the remaining participants,  and resume the event
